Aisling was looking for a more transparent and responsive payroll solution having been frustrated by errors and poor communication. She was also struggling with the amount of time it was taking to prepare the data to operate the payroll.
Aisling contacted several payroll companies including Payroll Options and conducted a market review of the services available. There were marked differences between companies, and direct comparison was not always straightforward, but Payroll Options was shortlisted and ultimately selected as offering the best fit.
Aisling actually had two payrolls to move mid-way through the tax year. The transfer process ran smoothly for both payrolls, although we saw the enhanced maternity pay did not seem to be producing the desired results on the larger payroll.
The first payroll we transfered contained some casual workers that had not worked in some time and they were issued P45s in line with HMRC guidelines. Although this company operates a monthly payroll they had occasional weekly pay runs for casual staff. This has been set-up and has been running well as needed.
The second, larger payroll has a more streamlined information exchange, Aisling can speak to people and get a response, and the reports she receives are more useful and complete. The maternity pay was resolved and any outstanding make-up pay processed.
The process of electronically applying tax codes is also now working well, and the report with tax code changes applied electronically in the pay run has also been very useful.
There is ongoing development of systems for the transfer of information, but already the payroll is taking Aisling far less time to prepare, as well as offering the opportunity to delegate some of the tasks.
Both payrolls now benefit from online payslips, and this is working well with employees controlling their own security details, and staff at Broadwick having an admin access. P60s have also been available via the portal, which will save the requests for duplicates later in the tax year.
